Media Services - Purpose & Policies
Purpose:
To provide a process for appropriate scheduling and allocation of technical staff and equipment to support classroom needs.
Policy:
- Instructional media equipment is provided free of charge to all Wayne State University colleges and departments for classroom teaching.
- Instructors should submit routine equipment orders and semester equipment orders through their department office, using the Audiovisual Service Request Form.
- Media Services will make every effort to accommodate equipment requests submitted with less than 72 hours notice. If this is not possible, Media Services will contact the department or instructor.
- Last minute requests should be submitted through the instructor's department. The Oakland Center can make requests through that office. A Media Order Form must be completed.
- Equipment changes and add-ons can be requested by telephone, accompanied by instructor authorization (either written or by telephone). Student requests for equipment changes without instructor authorization will not be accepted.
- Media Services office staff is available between 9:00 AM and 6:00 PM Monday through Thursday, and between 9:00 AM and 5:00 PM on Fridays, to assist users with questions, problems and equipment ordering.

Scheduling and Billing:
- Media Services has instructional classroom support as its first priority. Therefore, Special Events will be supported only if equipment and staff is available after instructional demands have been provided for.
- Special Events must be scheduled in advance for a fee paid by the requesting organization or department. A minimum of thirty (30) days advance notice is required for scheduling Special Events that will require a significant amount of equipment and technical support. All other special events will require a minimum of five (5) business days advance notice. This is done through the Media Services Special Event Request Form, which can be provided via fax or at our office. This order form is a request for our services. We have the right to decline the Special Event if we do not have the equipment or technical support available to properly support the Special Event. Media Services will then refer you to an outside source.
- The requesting department must provide a start time, end time and agenda for the event. After a consultation with Media Services, Media Services will determine the staff and equipment that will be needed for the event and a quote will be made. Note: additional charges incurred on the day of the event for additional equipment or staff time are the responsibility of the requesting department. When additional charges are necessary, we will notify your department so that you can adjust the amount of the IRB.
- The requesting department must provide an IRB and account number at least two (2) business days before the event. A late fee will be added if the Special Event is not scheduled within this time, as described above.
